1. Who we are

Reva Flow ("Reva," "we," "us") provides an AI-powered phone receptionist service for small businesses. This policy explains what information we collect, how we use it, and the choices you have.

2. Information we collect

From you (the business owner)

  • Account details: name, email address, mobile phone number, business name, and password.
  • Business profile: services, pricing, hours, FAQs, and other information you provide so Reva can answer calls accurately.
  • Payment details: handled by Stripe; we never store your full card number.
  • SMS notification number (optional): the phone number you provide if you opt in to receive text-message call summaries.

From inbound callers

  • Phone number of the caller (caller ID).
  • Audio recordings, transcripts, and AI-generated summaries of the call.
  • Any information the caller chooses to share with Reva during the call.

If you operate in a jurisdiction that requires call-recording disclosure (e.g., two-party-consent states), you are responsible for ensuring Reva's greeting includes appropriate notice. Contact support if you need help.

Automatic

  • Usage data: pages visited, features used, timestamps, IP address, device and browser type.
  • Cookies and similar technologies for authentication and basic analytics.

3. How we use information

  • Operate the service: answer your calls, store transcripts, generate summaries, deliver email and (optional) SMS notifications.
  • Bill you for plans and overage minutes.
  • Send service emails (trial reminders, weekly reports, account notices). Some are opt-out via your settings.
  • Improve the product: aggregated, de-identified analytics about how the platform is used.
  • Comply with the law and protect against fraud or abuse.

We do not sell your data. We do not share your information — including your mobile phone number or the mobile phone numbers of your callers — with third parties for their own marketing purposes.

4. SMS notifications

SMS call summaries are an opt-in feature. You enable them in your dashboard settings and provide the mobile number that should receive the messages. We send a short text after each call your Reva line answers.

  • Frequency: One message per call your Reva assistant handles. Frequency depends on your call volume.
  • Opt out: Reply STOP to any message to unsubscribe. You can also turn the feature off at any time in Settings → SMS Notifications.
  • Help: Reply HELP to any message for assistance, or email support@revaflow.ai.
  • Carrier disclosure: Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
  • The mobile number you provide for SMS notifications is used only to send call summaries. We do not share it with third parties for marketing or promotional purposes.

5. Service providers

We rely on a small set of vendors to operate Reva. Each receives only the information needed for their role:

  • Vapi — voice AI infrastructure (call routing, transcription, AI assistant).
  • Twilio — SMS delivery for the optional notifications feature.
  • Resend — email delivery for call summaries and account emails.
  • Stripe — billing and payment processing.
  • Supabase — database and authentication.
  • Vercel — application hosting.

These providers are contractually obligated to protect your information and use it only for the services they provide to us.

6. Data retention

We retain your account, call records, transcripts, and recordings for as long as your account is active and for a reasonable period afterward to comply with legal obligations and resolve disputes. You can request deletion of your account and associated data by emailing support@revaflow.ai.

7. Your choices

  • Email notifications: manage recipients and opt yourself out in Settings → Notification Emails.
  • SMS notifications: enable, disable, or change the recipient number in Settings → SMS Notifications.
  • Access and deletion: request a copy of your data or deletion of your account by emailing support.

8. Security

We use industry-standard safeguards to protect your information, including encryption in transit (TLS), encryption at rest, role-based access controls, and audit logging through our infrastructure providers. No system is perfectly secure, but we work hard to protect your data.

9. Children

Reva is a B2B service and is not directed at children under 13. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email to active accounts.
